Client Relations Specialist

We are looking for a client relations manager / administrative assistant who has a pleasant, professional personality and can help keep our office organized and running smoothly and efficiently and also work accurately with numbers and details.
This is an important position for the firm and is the center of communication and document organization for our clients.
We provide accounting, tax preparation, tax planning, monthly bookkeeping services, and other planning and consulting services to individuals and small businesses.

Responsibilities will include:
- Monitoring and scheduling all office documents, deadlines, and requests to/from clients
- Answering the phone and greeting clients
- Contacting clients by phone, email, and/or text with requests and followups
- Meeting with clients as they drop off and pick up documents and forms
- Billing and accounts receivable
- Accurately keying data into Excel spreadsheets
- Providing excellent client service and communication
- Scanning of documents and naming digital documents
- Communication with clients regarding questions or missing data
- Comparing prior year data to current year data for tax return drop-offs
- Emails and calls with prospective clients
- Data entry and account coding
- Filing, organizing, scheduling appointments
- Monitor office supplies for reorder points, review for potential new office items
- Keeping office organized, efficient, all documents in their place
- Mailings, e-mailings, promotional gifts and mailings to clients
- Accounting, bookkeeping, and tax project assistance
- Assistance as needed with a variety of administrative duties
Requirements and Qualifications:
- Ease with and professional manner in making and receiving phone calls
- Proficiency with Microsoft Excel and Microsoft Word
- Experience with QuickBooks Online and QuickBooks Desktop
- Proficient with computers, digital documents, and technology
- Ability to work at a sometimes fast pace with accuracy and grace
- Detail oriented
- Pleasant and professional in manner and appearance
- Punctual and reliable
- Ability to meet deadlines, stay organized, and be self-disciplined
- Values pleasant and concise communication with clients and other team members
- Enjoys numbers, details, and related work
- Desire to learn, improve and advance with the firm
- Willingness to take courses, learn from on-line videos, take classes, and attend seminars
Preferred but not required:
- Experience in an accounting firm or tax preparation office.
- Experience with computer apps, such as Zapier, Zoom, Constant Contact, Nutshell, and other computer software
- Experience with monthly, quarterly, and yearly payroll tax forms
- Experience with bookkeeping, journal entries, account classifications, reconciling bank and credit card statements
- Accounting certificate or degree
- Bookkeeping experience
Additional potential responsibilities for a candidate who is interested and qualified will be completion of monthly accounting services for small business clients - posting transactions, bank reconciliations, preliminary financial statements, and other accounting project Note: This job description is not intended to be all-inclusive.
