*SUMMARY: *The bookkeeper is responsible for maintaining timely and accurate financial records, preparing reports as needed, paying bills, depositing checks, and providing other requested information as appropriate.
Due to the sensitive nature of this role, thoroughness, ability to manage deadlines, and attention to detail are critical.
Various team members depend on the ability to view accurate financial data at various times of year, and sometimes different grantors and outside parties require a different view of financial data that is not readily available in a standard report.
The ideal candidate for this role enjoys problem solving and the challenge of adapting to new scenarios.
*QUALIFICATIONS: *
* Understanding of GAAP and core accounting principles;
* Understanding of cash-basis and accrual basis accounting;
* Prior experience with Quickbooks Online;
* Superior computer skills and familiarity;
* Experience with nonprofit accounting practices.
*RESPONSIBILITIES: *
* Notify the Executive Director immediately of any irregular financial activity;
* Establish online accounts as required, and maintain security of login information;
* Redact and/or shred documents containing Social Security Numbers, bank account numbers, credit card numbers, and other sensitive information;
* Ensure that all expenses are allocated to administrative, program, or fundraising categories;
* Post all expenses and deposits to Quickbooks;
* Ensure that all vendor bills are signed and approved by the Executive Director;
* Generate checks for all payments, present to account signors for signature;
* Maintain hard copy files of all vendor bills along with check stubs;
* Distribute gift cards and petty cash to client support office;
* Monthly: Reconcile all bank, credit card, and asset accounts;
* Maintain accurate and up-to-date records of finance office cash and gift cards; ● Be always prepared to provide upon request:
* Supporting documentation for all expenses and balance sheet totals;
* Real-time reports of current and historical financial data;
* Annual worker’s compensation and general liability insurance audit (send requested documents);
* File biannual sales tax refunds with North Carolina Department of Revenue;
* Work collaboratively with the Director of Development and Communication to provide financial data as needed;
* Work with CPA to provide the required information for annual audits and tax returns.
