Occ Summary Compile, analyze and report on the financial performance of departmental operating units.
Work Performed Review and analyze monthly financial statements for assigned codes and/or departments.
Ensure revenues and expenditures have been charged in accordance with departmental and university procedures.
This includes printing & distributing the department statements to the Mailroom and emailing Faculty Account Balances to faculty members.
Also printing and sorting monthly statements to be reviewed by Admin Svcs Office Staff.
Monitor and report on financial performance of assigned codes, programs, and/or departments.
Recommend corrective actions based on analysis.
Share results and recommendations with the Associate Dean of Finance and Administration, faculty, and department managers as appropriate.
Reconciling 1190050, 1518413, 8420, 8455, 8495, 140’s (Journals), Preparing Correcting JV’s as needed.
Prepare monthly JV’s for MFD/Copiers used by the Law School Prepare monthly JV to charge faculty and depts.
for computer supplies and equipment per emails from Hiroki in AcTech.
Assist faculty, departments, and the Associate Dean of Finance and Administration in forecasting by providing historical information.
Assist in the preparation of the Law School budget by working with departmental directors, unit managers and appropriate personnel to prepare annual budgets.
Work with Renee on budget issues Keying Law School expenses into the Duke Budget Tool Assist in year-end closing activities, including communicating deadlines and expectations to department finance staff.
Sending out yearend deadlines memo Prepare JV’s for Accruals/Deferrals, Overdrawn faculty accts, Carryover amounts and allotment adjustments for new fiscal year.
Review existing financial systems and recommend improvements.
Serve as a key team member in the implementation of new financial policies, procedures, and systems.
Stay up to date on Duke Financial systems and policy and procedures.
Inform staff of training classes.
Perform in-house audits of assigned codes and/or departments.
Report any discrepancies or concerns to the Associate Dean of Finance and Administration.
Assist in formulating and refining short and long-term financial goals for each department through consultation with departmental directors and administrative staff.
Train staff new to the Law School or with new financial duties on university and law specific procedures.
Includes Financial Orientation Meetings with new financial staff.
Answering policy and procedure questions and responding to emails on a daily basis.
Prepare carts in Buy@Duke to pay invoices and facilitate orders.
Order office supplies Order computer equipment (laptops, iPads, PC’s, Printers, Monitors, etc.
) as requested by Hiroki in AcTech.
Update computer equipment spreadsheet tied to 4518403 Betterments code.
Research unpaid invoices Administer and Maintain the Corporate Card Program for the Law School.
Email Corporate Card Applications to new faculty & staff along with policy and procedures email.
Answer corp card questions.
Receive completed applications and prepare Dept Setup Form for Associate Dean of Finance and Admin approvals.
Email approved applications to corporatecard@duke.
edu Review and email all corp card limit increase request to Corporate Card Ofc.
And cc Crystal.
Email card cancellation notices to Corp Card when employees leave or retire from Law School.
Update Department Setup Master file when cardholders are added or leave the Law School.
Additional Duties Prepare office deposit bags and place in Courier box Supervise Nova and Darlene’s work to include approving time-off request and approving time cards.
Backup for LS bi-weekly timecard approvals.
Prepare APCR as needed.
Assist with “Untimely Postings” files to ensure that cardholder receipts are processed and fully approved by the 15th of each month.
Perform other related duties incidental to the work described herein.
Education/Training Work generally requires a bachelor's degree in Accounting, Economics or a related business field.
Experience No experience required for candidates who possess a Bachelor's degree in a field of study related to the specific position.
Prefer 3-5 years of experience in a financial setting.
Familiarity with the accepted accounting practices involved in monitoring financial systems and resolving complex accounts.
An equivalent combination of relevant experience and education may be substituted for these requirements.
Knowledge, Skills, and Abilities Preferred Excellent written and oral communication skills.
Excellent organizational skills, including the ability to prioritize multiple projects and move them to completion.
Ability to provide guidance and direction to financial staff and faculty members, including setting standards and monitoring performance.
Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.
Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.
Advanced knowledge of Microsoft Office and familiarity with graphic design programs.
Minimum Qualifications Education Work generally requires a Bachelor's degree in Accounting, Economics or a related business field.
