The Finance and Business (F&B) Department provides business, fiscal and budget management for the Libraries.
This includes closely monitoring the Libraries’ annual budget and overseeing the library’s accounting activities.
In addition to these broad responsibilities, the department handles travel (authorizations and reimbursements), PCard purchasing and reconciling, other procurement activities, contracts, pre- and post-grant awards, and Marketplace orders as well as many other financial functions.
Essential Job Duties Manage the Libraries’ procurement process.
Enter, review and approve vouchers, requisitions, and purchase orders.
Troubleshoot issues with orders as they arise with a goal of proactive problem-solving.
Maintain internal control over the Libraries’ PCards according to the Libraries’ and NC State University’s policies and procedures Supervise and balance workflow of a Libraries’ accounting team to efficiently process purchase requests and billing receipts.
Purchase transactions include supplies, equipment, computers, furniture, services, travel, etc.
Receipts include inter-departmental university payments, inter-library loans, circulation charges, private donations, and reimbursements Reconcile transactions and independently resolve payment/receipt issues, often collaborating with other Libraries units.
Independently manage numerous fund accounts with high levels of activity, utilizing the assistance provided by others within the F&B team.
Efficiently manage documentation required for financial transactions: both current and historical Supervise two employees who manage accounts receivables, billing, and travel Assess and resolve complex problems and apply sound judgment for resolutions based on established policies and procedures Make risk assessments of activities to ensure proper internal controls and recommend improvement/changes as needed Other Responsibilities Qualifications Minimum Education and Experience Bachelor’s degree with 12 credit hours of accounting coursework; or Associate’s degree in Accounting; or Associate’s degree in Business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications Knowledge of principles, practices, and ethics of Accounting Strong organizational skills with a high attention to detail; ability to manage multiple and competing priorities Ability to communicate clearly and knowledgeably through a variety of mediums Ability to work independently as well as part of a team, including the ability to establish and maintain effective work relationships Commitment to fostering an environment of belonging and well-being Strong problem-solving skills.
Experience processing and reconciling financial transactions, including appropriate resolution for difficult transactions Preferred Qualifications Experience with an enterprise system Extensive experience using various office and productivity tools including programs within the Google Workspace and Microsoft Office suite.
