Position: Payroll Specialist

Summary:
Reporting to the Payroll Manager, this position is responsible for the processing, reporting and analysis of five multi-state payrolls that include a total of approximately 580 union, non-union, exempt, and non-exempt employees.
Position Responsibilities:
- Gather or download information on hours worked, bonuses, benefit adjustments, garnishments, commissions, etc.
weekly and bi-weekly from time keeping systems, emails, spreadsheets, etc.
- Process five Bi-weekly payrolls for approximately 580 union, non-union, exempt and non-exempt employees
- Data entry via upload and manual entry into payroll system: ADP WFN
- Process and/or respond to state and Federal tax notices.
- Register for payroll tax accounts in state and local locations as required.
- Input, process and respond to garnishments, levies, and support orders.
- Run and distribute post-processing reports as directed.
- Standard and ad hoc custom reporting to finance and management as requested.
- Manage and respond to employee payroll issues via email, phone or in person.
- Approve employee ADP self-service tasks daily/as needed.
- Reconcile system generated quarterly reports to ensure information in ADP is correct.
- Prepare payroll data for annual workers compensation audit.
- Crosstrain internally with other payroll processors
- Work closely with other departments; benefits, accounting, HR, and other Payroll team members
- Perform other Human Resources or Payroll-related duties and projects as directed by management.
- Provides support and serves as back-up for Canadian payroll processing.
Qualifications:
- Minimum 4 years’ experience in payroll administration
- ADP WFN recent experience preferred.
- Union payroll experience preferred.
- Multi-state payroll experience preferred.
- Proficient with Microsoft Office and Outlook; moderate level of Excel skills
- Strong knowledge of Federal and State wages and overtime laws
- Strong knowledge of payroll state and federal withholding tax regulations
- Knowledge of prevailing wage and Certified payroll reporting a plus
- Experience with ASAP, SuccessFactors and Concur a plus.
- Canadian payroll experience a plus.
- Must be extremely detailed and able to detect potential pay errors.
- Be concise, organized, and work with integrity.
- Have proven customer service skills while maintaining a confidential work environment.
- Be proactive and have the desire for process improvement.
- Ability to work with minimal supervision.
- Must have professional expertise to interact with all levels of management in office and in the field.
