Essential Job Duties The primary purpose of this position is to support the processing of financial transactions in the Wilson College of Textiles’ Business Office, as well as manage the day-to-day operations of financial activities in the Textile Protection and Comfort Center (TPACC).
This is a shared position between the Wilson College of Textiles’ Business Office and the TPACC.
Reporting directly to the Assistant Dean of Finance for the college with a dotted line to the Director of Operations in TPACC, the person in this position will be responsible for coordinating and overseeing many aspects of financial transaction processing and reporting.
TPACC Maintain and monitor financial records and accounts within TPACC for all fund sources; Prepare accurate and timely financial reports for TPACC as directed.
Service Agreements.
Coordinate all aspects of processing TPACC service agreements (SOF/TSA/FSA) including: generate service agreement forms, work with legal for changes, coordinate signatures, invoicing clients, monitor all agreements/use rates/billings, and maintain financial records .
Ensure compliance with university, state, and federal rules and regulations.
Purchasing.
Oversee the reconciliation and approval of TPACC PCard statements; Manage TPACC purchase orders over $5k and vouchers; Ensure timely approval and compliance with all university procurement/spend rules and requirements.
Research.
Generate independent contractor agreements, invoice research projects for associated lab use of equipment and staff via internal IDT system or advise if there is a need for salary distribution changes for staff effort on projects.
Assist the research office with documentation required for TPACC-related proposal submissions such as budget, budget justifications, and other supplementary documentation, as well as, with processing of project extensions and closeouts.
Business Office Serve as the point person in the Business Office for processing all transactions related to travel, including authorizations and reimbursements; Maintain expertise in university and college rules, regulations, and procedures related to travel; Provide guidance to faculty and staff within the college as needed to ensure efficient processing and compliance.
Serve as a PCard Reconciler for assigned units and back-up for various units as needed.
Support the Business Office in processing/approving various college-wide financial transactions, such as journals, vouchers, or purchasing.
Support the Business Office in processing internal/external billing for the college.
Support the Business Office in establishing, monitoring, and renewing service center use rates.
Assist in quarterly review and year-end close in compliance with university rules and regulations.
TPACC and Business Office Prepare reports as appropriate to meet University, state, and sponsor requirements.
Identify and resolve problems or issues related to systems, processes, data, reporting, etc.
Perform related work as required including but not limited to special projects as required in support of the Business Office and TPACC operations.
Work with the Business Office and TPACC administration to document and maintain financial processing guidelines and policies.
Other Responsibilities Qualifications Minimum Education and Experience Bachelor’s degree with 12 credit hours of accounting coursework; or Associate’s degree in Accounting; or Associate’s degree in Business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications Strong written and verbal communication skills.
Excellent organizational skills with attention to detail.
Excellent interpersonal skills with the ability to establish positive working relationships with coworkers.
Proficient in Microsoft or Google Workplace applications (word/doc, excel/sheets, etc.
).
Considerable knowledge of accounting principles and practices.
Considerable knowledge of governmental accounting methods, procedures and financial practices.
Ability to interpret and apply common to moderately complex Federal and State fiscal regulations.
Ability to analyze and correct financial problems and accounting errors.
