About the Department
The Study Abroad Office is a unit within the NC State Office of Global Engagement, which supports the University’s overall mission of being locally responsive to the needs of our community while promoting globally engaged research, education, and economic development programs that address the grand challenges of our global society.
The Study Abroad Office is dedicated to creating opportunities inclusive of all NC State students to participate in transformative and high-impact credit-bearing experiences abroad.
Essential Job Duties As the Programs Budget Specialist you will be responsible for maintaining a designated portfolio of study abroad program budgets and managing all aspects of each program’s financial and operational components.
The portfolio management will entail collaborating with faculty directors and Study Abroad program coordinators on program budget planning, pre-departure budget review, budget reconciliation, and hiring associated with each program.
The portfolio will also maintain the operational components necessary for programming, vendor contracts, vendor set-up and payment, reconciling travel advances, university credit card, and faculty travel reimbursements.
In this role, you will engage in collaborative and communicative working relationships with the program coordinators and faculty within their portfolio of programs.
In order to be successful, you should have an understanding of NC State’s financial management systems and processes and knowledge of state travel policy concerning program operations.
Furthermore you will need to maintain working relationships with counterparts in the Controller’s Office toward understanding changes in the travel policy and effectively communicating these policies to faculty and program coordinators.
Additionally, you will contribute to the annual Faculty Director Finance training sessions, which educate our faculty on budgeting, reimbursement policy, and their responsibilities once the program has concluded.
Other Responsibilities In addition to maintaining program portfolios, this position will maintain office responsibilities such as student billing and insurance processing for all study abroad and student travel activities.
It is important that you be open to serving on office working groups as needed and assisting with other duties as assigned.
Qualifications Minimum Experience/Education High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Other Required Qualifications Introductory working knowledge of budgetary principles and accounting functions, accurate data management, strong organizational and time management skills, and adaptability in a dynamic work environment Exhibit excellent communication skills, professionalism, and cultural sensitivity to facilitate interactions with faculty/staff leading study abroad programs and international study abroad program vendors Willingness to collaborate with campus stakeholders and utilize flexibility while problem-solving unique financial aspects of Study Abroad processes Preferred Qualifications Strong working knowledge of MS Excel and Google Suite Previous experience working in higher education or customer service setting Required License or Certification n/a Valid NC Driver's License required No Commercial Driver's License Required?
