About the Department
The 900+ positions of the Facilities Division service the students and staff of the University’s teaching, research/administrative space and 2, 240 acres of infrastructure.
The Facilities Division provides design and building services, maintenance, custodial, landscape, solid waste removal, utility, mail, and motor pool services 24 hours a day, 365 days a year.
The goal is to deliver cost effective services to the University, ensure completed projects and maintenance that conform to codes and regulations, while minimizing University liabilities and disruptions caused by the maintenance, repair, building and equipment modifications to the University.
Essential Job Duties As part of the administrative team, the Administrative Support Associate will provide support for the entire Building Maintenance and Operations (BM&O) unit.
This will include executing processes in their entirety, as well as completing individual tasks that are part of a process.
Major processes managed by the administrative team for the BM&O unit will include, but are not limited to: Communication systems Timekeeping and leave administration Hiring, recruiting, and onboarding for permanent employees, temporary employees, interns, etc.
Promotions Work plans and appraisals Separations Uniform program Training coordination Inventory management Meeting, event, and conference coordination Contracts Databases Technical support Occupations incidents Office operations Office supply inventory and purchasing Travel arrangements Personnel records and files Safety program Furthermore, this position will help establish new processes as needed, work on continuously improving existing processes with creative and innovative ideas, and take on additional tasks as assigned.
Other Responsibilities Other duties as assigned by supervisor.
Qualifications Minimum Experience/Education High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Other Required Qualifications Ability to convey information and ideas through a variety of media.
Knowledge of standard office equipment and software.
The ability to maintain existing and create new programs and procedures.
The ability to maintain accurate records.
The ability to handle confidential information.
The ability to review and interpret standard policies.
Knowledge of payroll documentation and tracking.
Knowledge of general HR processes and procedures.
Microsoft Office and G-Suite experience.
General office experience to include customer service, organizational skills, and appropriate communication styles.
Preferred Qualifications Administrative support experience in a university setting.
