Position Summary The Student Services Specialist will provide support to various levels of learners and trainees.
This includes coordinating medical student rotations, coordinating fellowship programs, coordinating trainee purchases and travel through Concur, coordinating the DEI educational curriculum for the Neurology Department.
This individual will work with multiple faculty members including Program Directors, the clerkship director, the ambulatory training officer and the Vice Chair for DEI to support educational initiatives across the department.
The Student Services Coordinator is responsible for the day-to-day administration of the multiple fellowship training programs in Neurology accredited by the Accreditation Council for Graduate Medical Education (ACGME), and programs not yet accredited.
The Student Services Specialist/ Program Coordinator assists the Program Directors in developing and maintaining the educational quality of the training programs and ensuring compliance with ACGME accreditation standards and other regulatory requirements.
The PC functions as a liaison between the Program Directors, other Program Coordinators, and the trainees, GME Office, participating sites, and other programs/departments, and must be knowledgeable about operational activities at the various training sites in which their trainees rotate.
The individual in this position will be responsible for assisting in the in-depth recruitment, application screening, and selection process and works side-by-side with the Program Directors, and other Program Coordinators to maintain accreditation.
This individual will work to recruit and retain the highest caliber of students.
This position interacts with national and international candidates and plays a highly visible, critical role in marketing and public relations for the department and the University.
This person must have an excellent understanding of how to develop and implement educational programs, events, and conferences.
This position will also manage annual rotation, clinic, and call schedules for students and trainees.
This position will be responsible for collection of feedback for trainee performance as well as faculty teaching.
This requires high level organization skills, communication, professionalism, attention to detail, and use of modern education technology.
This individual ensures GME, and Departmental policies and procedures are enforced and that the program remains compliant with national standards.
Minimum Education and Experience Requirements Bachelor’s degree; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience Recent administrative experience working in academia, healthcare, or other related environment.
Experience with Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe, and other related applications.
Demonstrated ability to work independently with strong time management skills.
Ability to create and deliver presentations and workshops to large audiences.
Outstanding communication and interpersonal skills are required for the role to function as part of a team and for ongoing customer satisfaction.
The role requires an organized, detail-oriented, and flexible individual, capable of managing competing priorities and projects.
Preferred Qualifications, Competencies, and Experience Candidates with previous experience as a residency or fellowship program coordinator are highly desirable.
Experience with Concur highly desired.
Required Licenses/Certifications Special Physical/Mental Requirements Campus Security Authority Responsibilities This position is designated as a Campus Security Authority in accordance with the Clery Act.
This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities.
