Position Summary The Executive Assistant to the Dean provides critical organizational and communication skills needed to effectively support the duties of the top leadership of the school.
This role works autonomously to run the Dean’s office working alongside Faculty, Staff, Students, Alumni and the greater UNC Campus Community to promote professionalism and collaboration – handling meeting coordination, managing office communications and providing decision making authority that affects the day to day operations of the suite.
This position acts as the nucleus/control panel coordinating closely with the other Dean’s Suite admin assistants to schedule meetings, discuss strategies for school wide initiatives and facilitate progress of program areas by offering leadership and liaison support from the Dean’s Office.
This position handles all calendar management for the Dean as well as heavy travel coordination and reimbursement.
The Dean travels frequently and this position handles all flight, hotel and transport arrangements as well as coordinates with the executive level assistants of other visiting institutions and companies to coordinate the meetings during the Dean’s travel as well as fostering and developing business communication relationships.
This position also supports the Associate Dean for Advancement, providing Executive Assistance supporting advancement and development services within Kenan-Flagler, and provides general administrative support for the Associate Dean for Administration and Inclusion.
Minimum Education and Experience Requirements High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience - A high level of proficiency in MS Office Suite, including Word, Excel, Power Point and Outlook; - Excellent verbal and written communication skills; - The ability to work in a highly varied and dynamic environment; - The ability to multitask.
Preferred Qualifications, Competencies, and Experience - Experience working in a University or higher education setting; - Familiarity with Concur travel and invoicing software; - Experience providing complex administrative support for executives or university administrators.
