Primary duties are:
Primarily responsible for coordinating activities of workers engaged in calculating, posting, and verifying duties to obtain and record financial data for use in maintaining accounting and statistical records.
ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following.
Other duties may be assigned.
• Assists with the preparation of monthly operational and statistical data reports.
• Studies and standardizes processes and procedures to improve efficiency.
• Work with other departments to streamline reporting processes for required monthly, quarterly, and annual reports.
• Assists in the formulation of program specific policies required by management or governmental agencies.
• Do daily Medicaid Validations and submit daily.
• Prepare and submit monthly reports for Medicaid service.
• Complete monthly travel experience surveys.
• Assists with daily counts and reconciliation of bus fares.
• Required to assist with the weekly money counts generated from fares.
• Assists with preparation of daily bank deposits and monitors deposit amounts on a regular basis.
• Transport Fares to Bank with Designated Staff using a non-venue vehicle per Fare Transport Policy.
• May assist walk-in customers as needed.
• Assist Dispatch Office as needed.
• May be called upon to run errands using non-revenue vehicles.
• Assists with field/on board interviews and surveys.
• Some outside office hours may be required for special events or training.
• Answers chiefly to the General Manager but may also be called upon by the Operations Manager • Assists the General Manager and Operations Manager with all administrative and financial duties.
• Manages front office area.
• Maintains correspondence for General Manager.
• Takes dictation and transcribes notes for General Manager.
• Organizes and maintains file system by filing all correspondence and records.
• Answers General Manager’s telephone calls and may arrange conference calls.
• Coordinates General Manager’s schedule and makes appointments.
• Complete special projects as assigned by the General Manager.
• Assist General Manager with reports for the County and HTG.
• Arranges and coordinates travel schedules, reservations, and completes expense reports.
• Studies and standardizes procedures to improve efficiency of subordinates.
• Maintain and organize record retention in archive area.
• Coordinates employee uniform orders.
• Coordinates employee on-boarding • May need to assist corporate staff as needed when on site or remotely.
• Other duties may be assigned.
QUALIFICATIONS To perform this job • Must be multi-task oriented as well as oversee subcontractors while attending to daily routine duties.
• Must be proficient in computer software such as Excel, Word, Power Point and Access.
• Possess excellent phone skills dealing with the public, public officials, subcontractors, and fellow employees.
• Display a willingness to attend to unexpected job duties as they arise.
EDUCATION and/or EXPERIENCE • Bachelor’s degree from a four-year college or university; or one to two years of related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS Ability to read and interpret documents such as financial reports, legal documents, safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of the organization.
Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
Ability to effectively present information to top management, public groups and/or boards of directors.
MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply concepts such as fractions, percentages, ratio, and proportions to practical situations.
REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
CERTIFICATES, LICENSES, REGISTRATIONS Public Notary – Not required but preferred.
