Front Desk Receptionist
Responsibilities:
• Promptly answer phones firm-wide with a friendly, professional, positive attitude; listen and
triage callers’ concerns; screen calls to block solicitors/spam; inform clients of case status,
take detailed messages, and immediately return all missed calls and voicemails.
• Welcome visitors upon arrival at reception, offer/serve them refreshments, and prepare
them for meetings.
• Process incoming faxes to reach intended recipient and save in electronic client file.
• Respond to and track all prospective client leads.
• Schedule and confirm all firmwide meetings and consultations.
• Timely follow up with prospective clients after consultations and assist in initiating
matters.
• Enter, update, and maintain client data in LawLogix case management software.
• Copy, scan, print, fax, mail, and shred documents as needed.
• Update assigned job duties in Office Procedures.
• Track, upload, and file delivery confirmations with signature image to clients’ electronic
and paper files.
• Request, obtain, and respond to client reviews.
• Receive payments via LawPay and QuickBooks online payment software, bank wire
transfer, or ACH.
• Keep office clean, sanitized, decluttered, organized, and stocked with supplies.
Ensure all
equipment, hardware, and software is running properly.
Report any problems or supply
needs to Business Manager.
• Provide additional support firmwide as needed.
Required Qualifications:
• Associate’s degree or equivalent professional experience in a service industry
• Bilingual in Spanish and English (able to speak, write, understand, and read fluently at a
professional level in both languages)
• Exceptional interpersonal and client service skills
• Extremely detail-oriented, highly organized, and professional demeanor
• Ability to work independently, manage time efficiently, and meet deadlines
• Strong command of Microsoft 365 including Outlook, Teams, SharePoint, Word, Excel, and
OneNote
• Technologically savvy and able to quickly master LawLogix case management software,
Zoom VoIP Phone Service, LawPay, RingCentral, QuickBooks Online, Adobe Acrobat Pro,
and Adobe Sign
Compensation:
• Salary range of $30,000-$35,000/year depending on experience
• Unlimited paid time off
• 13 annual paid federal/state holidays
• On-the-job training
