We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to multitask effectively.
The Administrative Assistant provides administrative, secretarial, bookkeeping, and clerical support to the Administrative Manager and others in the office to maintain an efficient office environment.
This is a full-time position.

* Bookkeeping responsibilities include AP and all aspects of assisting with the reconciliation of trade partner statements.
This may include working with trade partners as well as the purchasing department and the head of construction.
* Assist the purchasing department with setting up new trade partners.
* Lien waiver management with trade partners
* Maintain current Certificates of Insurance for trade partners and assist with annual insurance audits.
* Check, answer and file emails for two email accounts.
* Assist with home closings and gathering information to submit to the closing attorney and new home buyers.
* Respond to general correspondence.
* Receive, sort and distribute incoming mail and prepare outgoing mail.
* Scan, file and copy necessary documents.
* Create, prepare and/or type documents, reports and correspondence.
* Maintain office filing and storage system, both paper and electronic
* Maintain/update databases such as mailing lists, contact lists and client information.
* Perform work related errands, such as post office or bank, as requested.
*Non- Essential Functions*
* Performs other incidental and related duties as required and assigned.
*Supervisory Responsibility*
This position has no direct supervisory responsibilities.

Frequent contact with members of management, team members, and trade partners.

* High School Diploma or equivalent required; B.

is preferred.
* 3+ years of experience in an administrative role preferred
* Proficiency in Microsoft Office Suite (Word, Excel)
* Google Applications experience is preferred but not required.
* Experience in working with Sage Construction 300 and Builder MT is preferred, but not a requirement.

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; and taste or smell.
The employee must occasionally lift or move up to 25 pounds.

*Working Conditions*
This job operates in a professional, temperature-controlled office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and filing cabinets.
The level of noise is usually quiet.
*Travel*
Little to no travel is expected.
However, occasional local travel may be necessary.
