POSITION SUMMARY: Responsible for planning and executing various continuing legal education programs.
EDUCATION/REQUIREMENTS: Bachelor’s degree and a minimum of 3 years of proven professional education program planning or large event planning experience required.
Familiarity with Association Management Systems and Learning Management Systems preferred.
Hotel experience a plus.
ORGANIZATIONAL RELATIONSHIPS: Reports To: Director of Continuing Legal Education FLSA STATUS: Full Time/Exempt JOB DUTIES AND RESPONSIBILITIES: 1.
Program Planning and Execution * Establish strong working relationship with CLE Director, CLE and Communities managers, CLE department coordinators and volunteer leaders * Liaise with appropriate staff, volunteers and paid speakers in planning and executing CLE programs for an assigned portfolio of sections, divisions and committees * Provide guidance and assistance to program planners as necessary for program implementation * Contact and align speakers as necessary * Maintain three-year program planning calendars * Oversee preparation of program manuscripts including evaluation of proper material for inclusion in manuscripts * Coordinate program site selection and logistics * Ensure the availability of proper administrative forms and special equipment at program sites, while also performing host duties during the program * Perform post-program “wrap-up” including appropriate expressions of appreciation * Perform such other duties as directed or which in the best judgment of the Senior Manager or Director are necessary to ensure the program is presented in a professional manner * Evaluate “mix” of CLE programs and negotiate with professional speakers to broaden the range and professional scope of CLE programs 2.
Program Management * Assist with the coordination of Communities-related activities * Review and negotiate hotel contracts and related addendums and amendments to include room blocks, meeting room accommodations, exhibitor/sponsor space, equipment rental, breaks and other meal functions * Verify and approve billing * Maintain a good working relationship with as many hotels and convention and visitor’s bureaus (CVBs) in North Carolina and surrounding region as possible * Conduct site inspections * Evaluate and make recommendations to the Director of CLE relative to the quality of service and facilities at hotels under consideration * Schedule meeting space in the Bar Center for in-house programs * Arrange for catering and clean-up crews for in-house programs * Acquire sleeping room blocks at nearby hotels for in-house programs * Ensure Bar Center facilities are prepared for CLE activities * CLE pre-program budget planning: define program budget including fixed costs, variable costs, revenue/funding, overhead and tuition * Reconcile program budgets post event * Evaluate program performance utilizing established performance metrics * Where appropriate, obtain requests for proposal (RFP) from area CVBs for potential program site in that city/location * Stay current on hospitality industry trends (contracts, attrition, cancellation, food & beverage clauses) * Promote exhibitor/sponsorship opportunities with vendors * Travel approximately 10-15% of the time to include occasional out-of-state travel * Other duties as assigned WORK ENVIRONMENT: This job operates in a professional office environment.
