Description of Work ~RECRUITMENT RANGE: $38,515 – $44,900~ ~POSTING FOR TWO (2) POSITIONS #60008653 & #60008701~ The North Carolina Department of the Secretary of State is the heartbeat of the business community promoting economic growth and protecting the public from financial harm.
The Department works with business, banking and legal communities to strengthen our state's economy with a state-of-the-art system of reliable business and governmental records.
We also safeguard individuals and businesses against fraud.
The Administrative Specialist (Document Examiner) supports the Business Registration Division within the Secretary of State's Office.
The primary job functions include reviewing legal documents that have been submitted by corporations, limited partnerships, limited liability companies, and limited liability partnerships to make certain they are in compliance with the North Carolina General Statutes; making determinations whether these submissions should be accepted for filing; providing technical assistance and statutory guidance to the legal community, the banking community, and the general public by telephone, in writing, by email, and in person; performing data entry, access, and retrieval of corporate records by personal computer.
The employee in this position must have an eye for detail and accuracy in their work.
Knowledge, Skills and Abilities / Competencies Applicant must be proficient in MS Word and MS Excel (or similar software and systems).
The ability to prioritize multiple tasks and perform under deadlines is a plus.
Applicant must be able work independently and without direct supervision.
Thorough knowledge of services, policies and procedures related to a program or area of specialization.
Ability to explain and interpret information to clients/customers and staff.
Ability to apply knowledge of data collection, storage, organization, manipulation and/or analysis of data.
Ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.
Ability to identify and understand issues, problems, and opportunities; use effective approaches for choosing a course of action or developing appropriate solutions.
Experience providing technical assistance to internal and external stakeholders.
Experience reviewing legal documents.

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
